Our new Shanghai office requires an experienced person to support us in establishing our Chinese business in a professional and organised manner in the areas of office administration and finance administration
Your main responsibilities will include:
Independent and reliable management of office and administrative tasks
Checking and approval of purchase invoices
Raising sales invoices
Liaising with external accountants with regard to Sales, Purchases and Payroll
Processing of expenses
Petty cash disbursements
Undertaking on line banking transactions
Responding efficiently to requests from Group Finance for information
Ensuring an efficient and professionally run office, including scheduling of diaries, travel planning and administrative processes
Maintaining and updating the CRM
Organising internal and external meetings and providing administrative support for events and their follow-up
Communicating in Chinese and English in email correspondence and by telephone including colleagues, customers, partners and the parent company in the UK
Providing team support through coordination and sharing of information
You will be working with in a small, flexible and friendly team; the following skills and knowledge are therefore particularly important:
Ability to manage and prioritise your own workload
A “hands-on” flexible attitude and willingness to respond to the demands of a start-up office
At least two years’ experience in office administration. Financial administration experience preferable but not essential.
Knowledge and experience of Windows operating systems and Microsoft Office applications, especially Excel and Word
Fluent Chinese and excellent spoken and written English
Excellent communication skills
